For Enity (“Enity/we/our/us”), protecting the personal data you share with us is essential. Therefore, we have a privacy policy in place to ensure your personal information is handled responsibly, with respect for your privacy, and in compliance with applicable data protection laws.

This privacy policy defines the personal data we collect, as well as how it is used. The policy also contains information on your rights and choices regarding the personal data you have shared with us.

2.1. General Administration and Business Collaborations
For the purpose of managing and maintaining our business relationships with our customers and suppliers, we process personal data about you as a contact person in the form of your name, email address, job title, phone number, company, address and language.
The basis for processing your personal data is our legitimate interest in managing and maintaining our business customer and/or supplier relationships.
We usually receive this personal data directly from you, but in some cases, we receive your personal data from other sources, such as public directories or business contacts.

General Direct Contact via Phone
If you have requested to be contacted by phone, we process the following general personal data about you: name, email address, job title, phone number, company, address, language, and the description of your request that you enter in the free text field.

2.3. Events, User Meeting References, Webinars, and Seminars
If you register for events, user meeting conferences, webinars, and/or seminars, we process personal data about you in the form of your name, email address, job title, phone number, company, address and language.
We process this personal data based on our legitimate interest in obtaining an overview of the participants and – if relevant – forwarding the access link to the event, conference, webinar, or seminar to you, thereby enabling you to participate in the event or seminar you wish to attend.
During the event, user meeting conference, webinar, or seminar, we may take photos and/or record video material, which we use for marketing purposes. If this is the case, we will obtain your consent before taking photos and/or recording video material of you.

2.4. Use of website
When you use www.enity.io to contact us, we process personal data about you.

In some cases, processing occurs via forms on our website, where necessary personal data is either marked with an asterisk (*) or it will be clear that you cannot proceed to the next step if a particular data field is not completed. If you choose not to provide the required personal data, you may not be able to use the specific function.

In responding to inquiries via customer service on our website, we process your contact details in the form of your name, email address, job title, phone number, company, address and language to respond to your inquiry.

The legal basis for the processing is our legitimate interest in providing you with the best possible service.

2.5. Marketing via Email
Newsletters
When you sign up and subscribe to Enity’s newsletter, we process your name, email address, job title, phone number, company, address and language that you provided during registration.

Our newsletter contains marketing related to Enity EMS and Service Subscriptions.
The purpose of the processing is to send you direct marketing.

The basis for processing is your consent, which you can withdraw at any time by contacting Enity or via the “unsubscribe” link in the marketing emails you receive from us.
We also process your device ID, and behavioral information, which includes when you signed up for the newsletter and user behavior.

The purpose is to personalize the content of marketing emails, develop existing and new services and products, and conduct analyses and statistics of our customer segments and products.

The basis for processing is our legitimate interest in targeting relevant marketing.

Request for Demo, Quote, or Information Material
When When you specifically request to receive a quote or other information material, we process your name, email address, job title, phone number, company, address and language to send the requested material.

The basis for processing is our legitimate interest in accommodating your request and providing good service when you contact us.

2.6. Customer Satisfaction Surveys
As a customer of Enity, we use your name and email address to send satisfaction surveys. We process your information, including your responses, with the aim of improving customer experience. In this context, we also use your information to analyze your customer relationship with Enity. The basis for processing is our legitimate interest in improving the experience for our customers.

2.7. Social Media
At Enity, we use the following social media providers for the purpose of using insight and analysis tools. These tools allow us to target relevant audiences on social media and enable us to generate analyses and statistics on the reach of our campaign ads and other online content, as well as your use of our website and services on the website. In this context, we may share your email address with social media providers:

In the above cases, Enity and the social media provider are joint data controllers for the processing of personal data.

The purpose is to target marketing and conduct analysis and statistics of our customer segments and products.

2.8. Google Analytics
When you visit our website, we use Google Analytics to perform tracking and analysis of your visit to our website.

Google Analytics processes a unique ID and your IP address.

In Google Analytics terms, Google Analytics describes its role as a data processor. However, based on statements from European data protection authorities, Enity has assessed that there is joint data responsibility with Google Analytics.

We only use Google Analytics Basic mode and have also implemented additional technical measures, including, for example, deletion of data processed by Google Analytics.

2.9. Cookies
When you visit our website, we use cookies to ensure the functionality of the website and to perform tracking and analysis of your visit to our website.

2.10. Video surveillance
Enity has installed video surveillance at locations at the entrances and exits of office buildings. At video-surveilled locations, Enity has posted signs indicating that the location is under video surveillance.

The purpose of monitoring the entrances and exits of office buildings is to prevent crime and ensure the safety of employees and customers.

Recordings will only be accessed and reviewed in cases of suspected criminal activity, violation of internal guidelines, internal/external control, or clarification of security issues.

Additionally, recordings may be shared with the police in cases of criminal activity, for the purpose of crime investigation, or with other recipients. The basis for processing is our legitimate interest in crime prevention and increased security.

If disclosure is necessary for other reasons to other third parties, we will seek your consent for such disclosure if you appear in these recordings.

3. Storage and Deletion of Personal Data

We store your personal data for as long as it is necessary to fulfill the purpose(s) of the processing as stated in the above sections.

We will delete your personal data when we no longer have a legitimate purpose for retaining it. In assessing the retention period, we consider any legal obligations for retention, as well as the risk associated with the processing.

Additionally, we store your personal data securely and ensure that it is only accessible to relevant employees at Enity.

4. Data Processors, Independent Data Controllers, and Transfers to Third Countries

In processing your personal data, we may involve a number of data processors and independent data controllers, such as IT system providers, hosting providers, marketing partners, newsletter solution providers, website providers, cookie providers, user survey providers, and other partners.

If your personal data is transferred to third countries (outside the EU/EEA) in connection with our use of data processors and sub-processors, we ensure a legal basis in accordance with data protection regulations regarding transfers to third countries.
